Privacy Policy

I am an individual running a hobby bot, not a company with a development team, so I have no idea how to write a good privacy policy, but I know what I’ve made so I can tell you what we store.

IRL Bot – Community Bot

  • The “IRL Bot” is a bot developed and created by Fraser. This bot stores your data in a database on servers only accessible by Fraser. The only personal data collected is your Discord user ID, and if you have provided it, your birth day and month (not birth year). You may have other data tied to your Discord user ID that is not tied to you personally, like badges you have claimed.
  • The bot temporarily logs some command usage for debugging and security purposes, especially shortly after new features have been rolled out. Logs may contain Discord user IDs and are automatically deleted after a short period.
  • Fraser (the developer of the community bot) has the ability to look into the database to view or update the IRL Community’s settings. This is only really done if there is a technical reason to do so, otherwise the bot interfaces with the data via commands.
  • Fraser is also the only person who can review the logs that may contain Discord user IDs.
  • The bot also stores administrative settings, such as role IDs, channel IDs, badge information, and other data like this that allows the bot to function. These aren’t related to you in any way and is essential for the core function of the bot.
  • When you use certain commands that may provide a fun statistic for the community (i.e. the /hug command), we store the use of this command. This is so community-wide statistics (i.e. Total Hugs) can be maintained, as well as allowing for community year-end recaps (i.e. “Wrapped” style statistics).
  • I assume that when you leave the server, you will not rejoin. Should you leave the server, all data stored about you “against your Discord account” by the bot will be automatically pruned the next time it hits 4am UK time – birthday, badge claims, allowlists you created and were a member of, events you hosted, the lot. This deletion is an irreversible process, and is to comply with global data protection regulations (as well as to reduce the size of the database). I have purposely configured the bot to not retain the data of those who are no longer in the community. Staff are not able to assign badges you previously gained, nor can they set up your birthday again for you. If you choose to rejoin, you will need to provide your birthday again if you want to receive birthday wishes, and will need to build up your badge collection from scratch – no exceptions.
  • The only exception to the above deletion is server statistics. For example, should you leave the server, statistics related to command usage (i.e. the hug command, who you’ve hugged, who’s hugged you) will instead be anonymised by replacing your Discord ID with “0”. This anonymisation is an irreversible process, and is to comply with global data protection regulations. Anonymised data is retained indefinitely for community historical statistics and year-end recaps. If you choose to rejoin, you will start from scratch.
  • The bot backs up its databases daily. Old backups are stored for a short time before being routinely deleted. Should you leave the server, and should a situation arise where data needs to be restored from a backup with your data on it, it’ll automatically be deleted at 4am when the bot runs it’s next automatic prune.

Polaris – XP Bot

The below “Polaris” bot is separate to the above detailed “IRL Bot”, and doesn’t adhere to the details outlined thus far.

  • The “Polaris” bot is a separate bot for XP and levelling, and stores your Discord user ID, the XP you have gained from interacting with other community members, and your cooldown. Other than this, no other data is stored.
  • Fraser (the hoster of the “Polaris” bot) has the ability to look into the database to view or update the Polaris bot’s settings. This is only really done if there is a technical reason to do so, otherwise the bot interfaces with the data via commands.
  • The “Polaris” bot is a separate bot that isn’t developed by me so I can’t implement automatic pruning of data and haven’t yet developed a way to automatically do this directly with the database, however it is a routine activity to delete you from the XP database if you are no longer a member, meaning you will also need to build up your XP from scratch if you rejoin.   • The bot backs up its database daily. Old backups are stored for a short time before being routinely deleted. Should you request for your data to be deleted, and should a situation arise where data needs to be restored from a backup with your data on it, your data will be removed as part of the restore process.
